The successful candidate will provide administrative and customer-facing support, including managing appointments, handling telephone enquiries, registering patients, processing referrals and supporting the smooth running of clinics.

About the Role

The Administrative Support Assistant will work as part of the Haringey Talking Therapies administrative team and provide a high-quality, professional and friendly service to patients, carers, referrers, healthcare professionals and members of the public.

The role involves typing and general administration, coordinating the appointments system and responding appropriately to telephone enquiries. The post holder will gather information from patients and referrers, carry out basic call triage and liaise with clinical teams to ensure patients receive appropriate information and follow-up.

Responsibilities also include registering new patients, sourcing and uploading documents, booking and rescheduling appointments, processing appointment outcomes and using the RiO patient management system.

Main Responsibilities

  • Provide a helpful, courteous and sensitive response to patients, service users and members of the public by telephone and face to face.
  • Gather key information from patients and referrers and carry out initial patient triage.
  • Manage patient appointments and provide information about community clinical services.
  • Register new patients on RiO and other relevant patient systems.
  • Book interpreters and transport where required.
  • Confirm patient attendance and organise appointment letters.
  • Cancel and reschedule clinics when necessary.
  • Provide front-of-house reception and building management support.
  • Complete monthly audits and Resus Bag checks.
  • Support Band 4 Administrators with referral management and appointment booking.
  • Ensure referrals received through generic service emails are saved and processed promptly.
  • Handle correspondence between Community Services, patients, GPs and other healthcare professionals.
  • Maintain confidentiality at all times.
  • Work collaboratively with colleagues and provide cover during periods of absence.
  • Complete mandatory training and participate in ongoing professional development.

Essential Requirements

Education and Qualifications

  • GCSE/O Level or equivalent.
  • A Level or equivalent experience.
  • Excellent written and spoken English.

Experience

  • Previous administrative or office experience.
  • Previous NHS experience.
  • Experience booking and changing appointments.
  • Experience using RiO and other patient data-entry systems.
  • Experience dealing with members of the public face to face and/or by telephone.

Skills and Abilities
