Job Details
UK Export Finance (UKEF) is recruiting an Executive Assistant to provide administrative and logistical support to senior management within its OCC and MC divisions.
The role also includes responsibility for coordinating travel and supporting meetings, events, financial administration and wider business management activities.
This is a permanent Civil Service position based in Westminster, London, offering a salary of £38,800 plus Civil Service pension benefits.
About the Role
The Executive Assistant will work closely with senior managers, colleagues across UKEF, other government departments and external stakeholders.
The successful candidate will need to work independently, manage competing priorities and use sound judgement when dealing with diaries, inboxes, meetings, travel arrangements, correspondence and administrative matters.
The role provides significant exposure to staff at different levels and requires strong organisational, communication and decision-making skills.
Key Responsibilities
The successful candidate will be responsible for:
- Monitoring and responding to emails and enquiries on behalf of senior managers.
- Screening and handling telephone calls and requests where appropriate.
- Managing diaries, appointments and meetings.
- Organising domestic and international travel, accommodation and visas.
- Coordinating travel involving other UKEF divisions.
- Preparing meeting papers, presentations and other documents.
- Helping organise internal and external events.
- Supporting invoice processing, budget reforecasting and quarterly business reviews.
- Reviewing office processes and helping ensure administrative tasks are completed efficiently.
- Maintaining risk logs and supporting project management activities.
- Supporting commercial arrangements, agency briefings and contracts.
- Meeting and greeting visitors.
- Liaising with government departments and colleagues at different levels of seniority.
- Conducting research and supporting departmental policy activities.
- Preparing draft correspondence and responding to requests using appropriate judgement.
- Delegating work when required during the absence of senior managers.
