About the Role
The Project Support Officer will work within the Project Portfolio Management Office (PPMO), supporting priority change activities across the Housing Ombudsman Service.
Working alongside Programme Managers, Project Managers, Portfolio Analysts and Business Analysts, the successful candidate will help ensure projects and programmes run smoothly through effective coordination, administration, governance support and project controls.
A key part of the role will be supporting the implementation and management of the organisation’s PPM Tool, with particular attention to data quality, project documentation, reporting and portfolio information.
Key Responsibilities
The successful candidate will be responsible for a range of project support and coordination activities, including:
- Providing administration and coordination support for portfolio and project governance.
- Maintaining accurate documentation, filing structures and version control.
- Preparing project documents, status updates and trackers.
- Supporting quality assurance to ensure project information is complete and current.
- Scheduling project meetings and formal governance boards.
- Preparing agendas, meeting packs and supporting documentation.
- Taking minutes and maintaining action logs.
- Tracking actions and ensuring follow-up and escalation where required.
- Maintaining dashboards, reporting packs and RAID logs.
- Monitoring project progress against plans and deliverables.
- Identifying and escalating risks, issues, dependencies and potential delays.
- Supporting risk and issue management processes.
- Logging change requests and tracking approvals.
- Ensuring approved changes are accurately recorded and reflected in project reporting.
- Coordinating workshops, training sessions, meetings and other programme activities.
- Supporting procurement, scheduling, travel and other operational arrangements.
- Acting as a point of contact for teams using PPM tools.
- Helping maintain accurate and complete project data.
- Supporting user guidance and training relating to PPM tools and processes.
- Contributing to improvements in portfolio management processes and practices.
- Supporting colleagues with basic project processes and governance requirements.
- Assisting with smaller or lower-complexity projects under the direction of a Project Manager.
Requirements / Person Specification

- Experience supporting the development and delivery of business improvement initiatives and projects.
- Experience prioritising work and managing competing demands.
- The ability to plan work effectively and meet challenging deadlines.

- Knowledge or experience of project management tools and methods.
