About the Role

Emergency Department Receptionists are often the first point of contact for patients and visitors arriving at the hospital. The role requires a professional, caring and respectful approach when dealing with patients, relatives, visitors and healthcare professionals.

You will work within the Emergency Department administration team and help keep reception and administrative services running effectively. Duties include registering patients, answering telephone queries, updating patient information and supporting clinical colleagues with administrative tasks.

The Emergency Department operates 24 hours a day, 365 days a year, so successful applicants must be prepared to work a range of shifts.

Key Responsibilities

Your responsibilities will include:

▫️ Registering and greeting patients when they arrive
▫️ Answering telephone calls professionally and courteously
▫️ Dealing with patient and visitor queries face-to-face and by telephone
▫️ Entering and maintaining accurate patient information on Trust systems
▫️ Updating patient and GP details when required
▫️ Ordering clinical notes for admissions and clinics
▫️ Scanning CAS cards and LAS PRF documentation
▫️ Clerking Clinical Decision Unit discharge information
▫️ Booking fracture clinic and soft tissue clinic appointments
▫️ Recording and reporting IT issues
▫️ Handling referrals and ensuring documentation reaches the appropriate departments
▫️ Collecting discharge paperwork for scanning
▫️ Maintaining clean and organised workstations
▫️ Supporting confidential waste and health-record processes

Majors Reception Duties

Receptionists will also work in the Majors reception area after receiving appropriate training.

Responsibilities include:

▫️ Providing administrative support to clinical staff
▫️ Registering ambulance patients and checking their demographic information
▫️ Updating patient information on the Trust’s Medway system
▫️ Ensuring patient observations are accurately recorded within the required timeframe
▫️ Responding to telephone and face-to-face queries
▫️ Updating the Majors whiteboard with clinical staffing information
▫️ Monitoring decision-to-admit information on the EPR system
▫️ Requesting notes for patients being admitted to wards
▫️ Booking transportation when instructed by clinical colleagues
▫️ Working with the Nurse-in-Charge to monitor the LAS screen
▫️ Recording doctors’ arrival and departure times
▫️ Providing locum doctors with passwords
▫️ Logging IT issues affecting clinical staff

Requirements / Person Specification

Applicants should have:

▫️ Excellent computer literacy
▫️ Strong written and verbal communication skills
▫️ Excellent interpersonal skills
▫️ Ability to multitask while maintaining attention to detail
▫️ Good understanding of data protection

For experience and qualifications, the Trust requires:

▫️ At least 2 years’ NHS experience or equivalent receptionist experience
▫️ GCSEs (5 grades A–C) or equivalent experience

Knowledge of medical terminology is desirable.

Training and Development

Successful applicants will be expected to complete training relevant to the role and the Trust’s mandatory training requirements.

The role also provides opportunities to maintain existing skills and develop new ones through training and development identified during appraisal.

Experienced staff may also be expected to guide and support new starters.

Working Pattern

This is a 24-hour Emergency Department, operating every day of the year, including bank holidays.

Staff will be rostered across different shifts, including:

▫️ Early: 07:00–15:00
▫️ Day: 10:00–18:00
▫️ Late: 15:00–23:00
▫️ Twilight: 16:00–00:00
▫️ Night: 23:00–07:00

The shifts include a 30-minute break.
