About the Role

University College London Hospitals NHS Foundation Trust is recruiting a Divisional Personal Assistant to support its Pathology Division management team.

This opportunity is suitable for an organised and proactive administrator who can support senior clinical and operational leaders in a busy healthcare environment.

You will help coordinate divisional activities, manage administrative processes and contribute to the smooth running of pathology services. The position also provides exposure to NHS management, governance, project coordination and service improvement.

Candidates should be comfortable handling confidential information, managing competing priorities and communicating professionally with colleagues and other stakeholders.

Key Responsibilities

The successful candidate will be expected to:

  • Manage diaries, meetings and administrative arrangements for senior managers.
  • Coordinate governance activities and maintain accurate records.
  • Provide administrative and organisational support for divisional projects.
  • Assist with service improvement initiatives and operational processes.
  • Respond to enquiries and deal with unexpected situations appropriately.
  • Handle sensitive information with discretion and maintain confidentiality.

Essential Qualifications and Requirements

Applicants should demonstrate the following:

  • GCSE-level education or equivalent, including English and Mathematics at Grade C or above.
  • Knowledge of administrative procedures gained through training or previous experience.
  • Understanding of confidentiality requirements and data protection.
  • Experience working in a customer-facing environment.
  • Experience handling varied tasks, responding to enquiries and managing unpredictable situations.
  • Strong IT skills and advanced keyboard skills.
  • Good judgement and the ability to decide when issues need to be escalated.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive situations with tact and diplomacy.
  • Ability to organise workloads, prioritise tasks and work independently.
  • Ability to work effectively as part of a team.
  • Understanding of equality, diversity and inclusion, including relevant NHS responsibilities.

Desirable qualifications and experience:

  • NVQ Level 3 in Business Administration, Customer Service, Healthcare Support Services or an equivalent qualification.
  • Previous experience working for the NHS or in a healthcare setting.
  • Flexibility, a friendly attitude and a willingness to adapt to changing working practices.
