Kane Coterie Consulting is seeking a highly organized and proactive Executive Assistant to support our company owner! As a central hub for information, operations, and team coordination, you’ll ensure the executive’s time is optimized for strategic priorities. This remote, part-time role is perfect for someone looking to make a high-impact contribution while working flexibly.

About the Role:


You’ll play a key role in managing the executive’s calendar, overseeing virtual assistant tasks, maintaining secure documentation, and implementing cost-saving initiatives. If you’re a proactive problem-solver with excellent communication skills, we want to hear from you! As an Executive Assistant, you’ll be the face of our company, ensuring seamless communication and workflow. You’ll work closely with our executive team to drive business growth, improve processes, and enhance productivity and learning.

Responsibilities:

  • Serve as primary gateway for company news, team updates, and industry trends, ensuring timely dissemination of information
  • Manage executive’s calendar, prioritize meetings, and coordinate high-value engagements, including travel scheduling and logistics
  • Oversee international Virtual Assistant for travel, email, and routine calendar tasks, providing guidance and support as needed
  • Maintain secure filing and timely execution of documents, forms, and audits, ensuring compliance with regulatory requirements
  • Negotiate vendor rates, streamline systems, and automate workflows to save time and reduce costs, identifying areas for process improvement
  • Identify areas for process improvement and suggest solutions, implementing changes to enhance efficiency and productivity
  • Prepare reports and presentations as needed, ensuring accuracy and attention to detail
  • Collaborate with team members to ensure seamless communication and workflow, promoting a positive and productive work environment
  • Conduct research and analysis to inform business decisions, providing insights and recommendations
  • Develop and maintain relationships with key stakeholders, including vendors, partners, and team members

Requirements:

  • Mid-level experience in executive administrative support, with a proven track record of success
  • Strong organizational and task prioritization skills, with ability to manage multiple projects simultaneously
  • Experience with automation, vendor management, and document management, including proficiency in Google Workspace and Microsoft Office
  • Excellent communication and collaboration skills, with ability to work effectively with diverse stakeholders
  • Comfortable making judgment calls with minimal guidance, with strong problem-solving skills
  • Proficient in managing executive calendars, travel scheduling, and implementing cost-saving initiatives
  • Ability to work independently with minimal supervision, with strong self-motivation and discipline
  • Strong analytical and problem-solving skills, with ability to think critically and strategically
