About the Role

As a Vaccine Support Officer, you will support the Rabies and Immunoglobulin Service (RIgS), helping healthcare professionals access life-saving vaccines, immunoglobulins, and emergency medical products. The role includes managing calls and emails, processing requests, maintaining databases, producing reports, and coordinating product deliveries across the UK.

Participation in an out-of-hours emergency rota (1 week in every 6 weeks) is required.

Key Responsibilities

  • Answer telephone enquiries from healthcare professionals.
  • Process vaccine and immunoglobulin requests.
  • Upload risk assessment and ordering forms.
  • Manage shared email inboxes.
  • Produce daily, weekly and monthly reports.
  • Monitor emergency product orders.
  • Maintain SQL databases and records.
  • Organise meetings and prepare minutes.
  • Support document control and version management.
  • Track deliveries of medical products.
  • Assist during product recalls.
  • Maintain accurate records using internal systems.
  • Communicate effectively with internal and external stakeholders.

Essential Requirements

Applicants should have:

  • Degree or equivalent experience in Business Administration, Management or a related discipline.
  • Significant administrative or secretarial experience.
  • Experience working within a public health environment.
  • Advanced Microsoft Office skills.
  • Strong database management experience.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and prioritise competing tasks.
  • Experience handling confidential information.
  • Strong organisational skills.
  • Ability to work independently and within a team.
  • Willingness to participate in the emergency on-call rota.
