Job Overview
Leeds and York Partnership NHS Foundation Trust is recruiting a Support Service Team Secretary to provide secretarial and administrative support to the Older People’s Intensive Services and wider teams based at The Mount in Leeds.
The successful candidate will support multidisciplinary teams with tasks including audio typing, word processing, correspondence, report preparation, meeting administration and diary management.
Previous secretarial experience is essential. Applicants should also have strong audio-typing and letter-formatting skills.
Key Responsibilities
The successful candidate will be responsible for:
- Providing secretarial and administrative support to identified multidisciplinary teams.
- Completing word processing, audio typing, correspondence and management reports.
- Arranging, attending and taking minutes at local meetings and following up actions where appropriate.
- Handling telephone and personal enquiries from members of the public, GPs and other healthcare professionals.
- Taking messages and providing appropriate non-clinical information and advice within the boundaries of the role.
- Supporting clinical and medical staff with diary management.
- Maintaining appropriate office stock and supplies.
- Processing incoming post, printing, photocopying and carrying out other general office duties.
- Handling highly confidential and sensitive information in accordance with the Trust’s Information Governance requirements.
- Providing cover for colleagues when required to maintain continuity of the service.
- Working effectively with Ward Administrators, Receptionists and the wider administration team.
Essential Requirements
Applicants should have:
- A qualification in administration, such as NVQ Level 3, a secretarial qualification or equivalent experience.
- Excellent audio-typing skills.
- Experience formatting letters.
- An understanding of confidentiality and the importance of handling sensitive information appropriately.
- Previous secretarial experience, as this is an essential part of the position.
