About the Maritime and Coastguard Agency

The Maritime and Coastguard Agency implements the UK Government’s maritime safety policy and works to prevent the loss of life on the coast and at sea.

The successful candidate will join HM Coastguard’s Business Support Unit in Aberdeen, providing administrative support and helping deliver consistent business support and estates services.

About the Role

As a Business Support Officer, you will provide dedicated administrative support across HM Coastguard.

You will work closely with Business Support Managers, the Business Support Lead, the Head of the Business Unit, HQ Estates and other colleagues to ensure effective and consistent administrative services.

Key Responsibilities

  • Provide administrative support across HM Coastguard and the MCA.
  • Process Coastguard Volunteer personnel data.
  • Approve Coastguard Volunteer remuneration claims accurately and within payroll deadlines.
  • Support volunteers with the claims process.
  • Help resolve rejected claims.
  • Promote best practice and consistency across Coastguard Divisions.
  • Provide procurement support.
  • Process invoices accurately and promptly through the shared services system.
  • Support reactive estates matters.
  • Work with facilities management providers to escalate concerns and find solutions.
  • Assist with facilities management services at Marine House, Aberdeen.
  • Provide excellent customer service to internal and external customers.
  • Communicate effectively face-to-face, by telephone and in writing.

Person Specification

Applicants should demonstrate:

IT and Administrative Skills

  • Experience using Microsoft Word and Excel.
  • Experience using a range of administrative software applications.

Working Hours

This is a part-time job-share position requiring 17 hours per week.

The role is not suitable for hybrid working.

The successful candidate must work from the designated workplace in Aberdeen or, where required for business reasons, from other offices, work locations or stakeholder sites.

Occasional travel to other offices may be required and could involve overnight stays.

Salary and Pension

Salary: £26,607 pro rata.
