About the role

Lancashire Teaching Hospitals NHS Foundation Trust is recruiting a Personal Assistant/Admin Team Leader to join its Pharmacy department at Royal Preston Hospital.

The successful candidate will provide effective personal assistant and secretarial support to the Chief Pharmacist, Senior Management Team and wider Pharmacy and Pharmacy Manufacturing Unit (PMU) teams.

The role also involves leading the provision of a professional, flexible and confidential administrative service within the Pharmacy department and supervising the General Pharmacy Administration team.

Key responsibilities

The Personal Assistant/Admin Team Leader will:

  • Provide a full PA and secretarial service to the Chief Pharmacist, Associate Directors of Pharmacy, Pharmacy and PMU teams.
  • Produce concise agendas and minutes for Trust and departmental meetings.
  • Supervise and manage General Pharmacy Administration staff.
  • Maintain high standards for efficient, timely and paper-light administrative processes.
  • Support training and development within the administration team.
  • Build positive working relationships with internal and external colleagues.
  • Work on projects designed to improve processes, meet targets and maintain effective pharmacy services.
  • Cover the duties of the Rota Co-ordinator when required.
  • Help ensure high-quality service provision and compliance with relevant policies, legislation and professional standards.
  • Identify, report and record incidents and near misses in line with Trust procedures.
  • Contribute to the handling and investigation of complaints, errors and incidents.
  • Support risk management and maintain health, safety and security standards.
  • Authorise routine expenditure from the Directorate budget within the agreed limits.

What the employer is looking for

Applicants should have previous experience in a clerical and/or secretarial role and be able to manage a busy workload while dealing with people tactfully, sensitively and confidentially.

You should have strong communication and organisational skills, as well as the ability to support and manage administrative staff.

Essential requirements include:

  • Good general education.
  • ECDL or equivalent experience.
  • Significant previous administrative experience.
  • Previous PA experience.
  • Experience of staff management.

Desirable:

  • Secretarial qualifications or relevant experience.
