Job Overview

Operose Health is recruiting an Administrative Assistant to support its senior operations leadership team. The successful candidate will provide administrative support to Operations Directors and Managing Directors, helping them manage their schedules, prepare for meetings and ensure important actions are completed.

This is a home-working opportunity, although occasional travel will be required.

The role involves handling confidential information, coordinating meetings, preparing presentations and maintaining professional relationships with colleagues, clinical teams, external partners and other stakeholders.

Key Responsibilities

Director Support

  • Provide day-to-day administrative support to senior directors and help prioritise their time.
  • Act as the first point of contact for calls, emails and requests.
  • Prepare briefing materials and meeting documents.
  • Draft correspondence, reports and communications on behalf of directors.

Meetings and Minute-Taking

  • Take accurate and concise minutes during leadership, operational and board-level meetings.
  • Circulate minutes and action logs, normally within 48 hours.
  • Track agreed actions and follow up with the relevant individuals.
  • Maintain organised records of meeting agendas, papers, minutes and decisions.

Presentations and Reports

  • Collect information from department leads for board and leadership reports.
  • Combine contributions into professional presentations and reports.
  • Check documents for accuracy, consistency and branding.
  • Maintain version control to ensure directors receive the latest documents.

Diary and Meeting Management

  • Manage complex diaries and resolve scheduling conflicts.
  • Arrange internal and external meetings, including video conferences and meeting facilities.
  • Organise travel, accommodation and itineraries.
  • Coordinate leadership away days, site visits and occasional events.

Stakeholder Management

  • Follow up with internal and external contacts after meetings.
  • Maintain contact records and monitor outstanding requests.
  • Develop effective working relationships with senior colleagues, clinical teams, partners and suppliers.

General Administration

  • Maintain organised, accurate and secure filing systems and shared drives.
  • Process expenses, purchase orders and invoices.
  • Handle sensitive information in accordance with UK GDPR and information governance requirements.
  • Assist with additional projects and administrative duties as required.

Essential Requirements

Candidates should demonstrate the following skills and experience:

  • Previous experience as an administrative assistant, personal assistant or senior administrator supporting directors or senior managers.
  • Confidence in taking accurate minutes during senior-level meetings.
  • Advanced Microsoft Office skills, particularly Outlook, Word, Excel, PowerPoint and Teams.
  • Strong organisational and prioritisation skills.
  • Ability to manage competing demands and multiple senior diaries.
  • Excellent written and verbal communication skills.
  • Ability to prepare professional presentations and reports.
  • Discretion and integrity when handling confidential information.
  • A good standard of education, including GCSE English and Maths or equivalent.

Desirable Experience

The following would be advantageous:

  • Experience working in healthcare, the NHS or another regulated environment.
  • Formal minute-taking training or board secretariat experience.
  • Familiarity with SharePoint, project management systems or CRM tools.
  • Experience supporting more than one director.
  • Experience drafting correspondence for senior managers.
  • Knowledge of UK GDPR and information governance.
  • A business administration qualification.
