Job Overview

The successful candidate will provide high-quality executive support to the Managing Director while coordinating stakeholder engagement activities, meetings, learning programmes and events.

The role involves working with 19 GP practices, Sefton GP Federation, NHS organisations, community and voluntary sector partners, local businesses and other external stakeholders.

Occasional travel across South Sefton and attendance at evening events may be required.

Main Responsibilities

Executive Assistant Support

  • Provide professional and confidential executive support to the Managing Director.
  • Manage complex diaries, meetings, appointments and schedules.
  • Act as a key point of contact on behalf of the Managing Director.
  • Prepare agendas, reports, presentations and briefing papers.
  • Organise Board, leadership and partnership meetings.
  • Attend meetings when required.
  • Take accurate minutes and maintain action logs.
  • Draft correspondence and communications.
  • Maintain confidential records in line with GDPR requirements.

Partnerships & Stakeholder Engagement

  • Develop relationships with South Sefton member GP practices.
  • Work with NHS organisations and local authorities.
  • Build relationships with voluntary sector organisations and local businesses.
  • Support the Managing Director with strategic partnerships.
  • Coordinate stakeholder communications and engagement activities.
  • Promote collaboration and joint working.
  • Represent the PCN professionally when dealing with partners and stakeholders.

Events & Engagement

You will help coordinate and deliver:

  • Protected Learning Time (PLT) events.
  • Workforce events.
  • Wellbeing events.
  • Patient engagement activities.
  • Community engagement events.
  • Meetings and learning programmes.

Event duties may include:

  • Venue bookings.
  • Catering arrangements.
  • Event materials.
  • Invitations and attendee registration.
  • Communications.
  • Liaising with speakers, exhibitors, sponsors and partners.
  • Event setup and registration.
  • Troubleshooting during events.
  • Monitoring attendance and feedback.

Communications & Business Support

  • Produce newsletters and stakeholder updates.
  • Prepare promotional materials.
  • Support internal and external communications.
  • Maintain stakeholder databases and contact lists.
  • Assist with organisational projects.
  • Coordinate actions and monitor progress.
  • Prepare reports and presentations.
  • Support PCN priorities and initiatives.

  • Experience producing professional reports, presentations and communications.
  • Educated to A-Level standard or equivalent experience.
  • GCSE English and Mathematics at Grade 4/C or above, or equivalent.
  • Willingness to travel across South Sefton.
  • Willingness to attend occasional evening events.

Desirable Experience
