About the Procurement Apprentice Administrator Role

The successful apprentice will work within a supported learning environment designed to develop the knowledge and practical skills required to complete the apprenticeship qualification and build a future career within administration services.

The role involves supporting the Trust’s procurement and category teams with a range of administrative and clerical responsibilities.

You will work closely with:

  • Category Teams
  • Inventory & Supplies
  • Performance and Governance Teams
  • Category Leads
  • Other Trust staff involved in procurement activities

Key Responsibilities

  • Researching products and services to support procurement activities.
  • Assisting Category Teams with procurement-related research.
  • Arranging meetings and events, including product review sessions.
  • Requesting product samples to support Category Leads.
  • Compiling, reviewing and analysing electronic data from the Trust’s reporting systems.
  • Assisting with the procurement mailbox.
  • Supporting the processing of new supplier forms.
  • Assisting with D&B credit reports.
  • Helping resolve product, invoice and service queries relating to contracts.
  • Liaising with team members to follow up on outstanding issues.
  • Providing information about products and services to colleagues and other Trust staff.
  • Reviewing spend comparison reports and taking appropriate follow-up action.
  • Providing general administrative support to the Category Team.
  • Maintaining accurate information using the Trust’s electronic systems.
  • Undertaking specific projects as directed by the Category Team.
  • Helping coordinate and prepare documents for uploading new products to the Trust’s internal catalogue.
  • Assisting with the preparation of scoping documents for submission to category towers.
  • Preparing usage reports when required.
  • Developing knowledge of relevant Standard Operating Procedures.
  • Maintaining confidentiality at all times.
  • Supporting the Category Team through required stages of the procurement process.
  • Developing an understanding of Procurement, Supplies, Performance and Governance functions.
  • Completing the apprenticeship development programme.
  • Working towards the relevant National Standard/Framework.
  • Completing the Apprenticeship Standard/Framework within the agreed timescale.

Essential Qualifications

Applicants must have:

  • 5 GCSEs, including Maths and English at grades 9–4.
