About the role

East London NHS Foundation Trust is recruiting a Receptionist/Administrative Assistant to join its Perinatal Services team at Mile End Hospital.

The successful candidate will provide efficient front-desk and administrative support, helping the service run smoothly and ensuring service users and members of the public receive a helpful and professional service.

The role would suit someone who is adaptable, works well within a team and can manage a busy administrative environment.

Main responsibilities

The role includes:

  • Responding to enquiries from members of the public and other agencies at reception, by telephone and face-to-face.
  • Answering incoming calls and dealing with enquiries politely and efficiently.
  • Scheduling appointments and contacting service users about appointments and cancellations.
  • Seeking guidance from administrators and the Operational Manager when required.
  • Providing general reception and administrative support to the service.
  • Communicating effectively with service users, carers, colleagues and partner organisations.

Essential requirements

Applicants should have:

  • GCSE standard education or equivalent experience.
  • Good written and spoken English.
  • Experience working in a receptionist role within a team setting, with up to two years or more of relevant experience.
  • Experience of receptionist processes.
  • Knowledge of Microsoft Office 365 and its applications.
  • Knowledge of patient administration systems and data entry.
  • Good verbal and written communication and interpersonal skills.
  • IT and administrative skills.
  • Professional accountability and a polite, friendly approach.
  • The ability to deal with verbally aggressive service users with empathy.
  • The ability to multitask in an environment with frequent interruptions.

Desirable experience

The Trust would also value:

  • Experience within a health, mental health, education or social services environment.
  • Good literacy, numeracy and IT skills.
  • An understanding of office procedures.
  • An understanding of hospital and/or social services environments.
  • GCSE or equivalent qualifications.
